Automatically create Zoom meeting links for your LinkTime bookings.

Overview

The Zoom integration allows LinkTime to automatically create unique Zoom meeting links for each booking. When someone books time with you, they'll receive a calendar invite with a Zoom link — no manual setup required.

What LinkTime accesses: We only use two Zoom permissions — creating meetings on your behalf and reading your Zoom email to link your account. We do not access meeting recordings, participant data, chat messages, or any meeting content.

Prerequisites

Before connecting Zoom to LinkTime, make sure you have:

  • A Zoom account (Free, Pro, or Business plan)
  • A LinkTime accountsign up here if you don't have one
  • At least one event type created in LinkTime (you can create one during setup)

Adding the App

Follow these steps to connect your Zoom account to LinkTime:

    Sign in to LinkTime

    Go to linktime.io and sign in to your account.

    Go to Integrations Settings

    Navigate to Settings → Integrations in your LinkTime dashboard. You'll see all available integrations organized by category.

    Click "Connect" next to Zoom

    Find the Zoom section under Video Conferencing and click the Connect button. You'll be redirected to Zoom's authorization page.

    Authorize LinkTime on Zoom

    On Zoom's authorization page, review the permissions being requested:

    • Create meetings — so LinkTime can generate Zoom links for your bookings
    • View your email — so LinkTime can link your Zoom account

    Click "Allow" to grant access.

    You're connected!

    You'll be redirected back to LinkTime. Zoom will now show as "Connected" in your integrations page with a green indicator. You can now select Zoom as a location for your event types.

Usage

Once Zoom is connected, here are the features available to you:

Automatic Zoom Meeting Creation

Use case: You want every booking of a specific event type to automatically include a Zoom meeting link — no manual meeting creation needed.

Prerequisites:

  • • Zoom is connected (green indicator in Settings → Integrations)
  • • You have at least one event type created

Steps:

  1. 1. Go to Event Types in your dashboard
  2. 2. Edit an existing event type or create a new one
  3. 3. In the "Location" section, select "Zoom" from the dropdown
  4. 4. Save your changes

Now, whenever someone books this event type, LinkTime will automatically create a Zoom meeting and include the join link in the confirmation email and calendar invite.

Different Locations per Event Type

Use case: You want some meetings on Zoom, others on Google Meet or in-person.

Each event type can have its own location setting. Set your "Sales Call" to Zoom, your "Coffee Chat" to in-person, and your "Quick Sync" to Google Meet. The correct meeting link is generated automatically based on each event type's configuration.

Zoom Links in All Notifications

Use case: You want your invitees to always have easy access to the Zoom link.

When a Zoom meeting is created for a booking, the join link is automatically included in:

  • • Confirmation emails (to both you and your invitee)
  • • Calendar invites (Google Calendar, Outlook)
  • • Reminder emails
  • • SMS/WhatsApp reminders (if enabled)

What Happens When Someone Books

Here's the step-by-step flow when an invitee books an event type with Zoom enabled:

The invitee selects a time slot on your booking page

LinkTime creates a unique Zoom meeting with the booking details (topic, time, duration)

The Zoom join link is added to the calendar event on your connected calendar

Both you and your invitee receive confirmation emails with the Zoom link

Reminder emails before the meeting also include the Zoom link

The meeting is created with host and participant video enabled and waiting room disabled for a frictionless joining experience.

Removing the App

You can disconnect Zoom from LinkTime at any time. Here's how:

Step 1: Disconnect from LinkTime

  1. 1.Go to Settings → Integrations in your LinkTime dashboard
  2. 2.Find Zoom under Video Conferencing
  3. 3.Click "Disconnect"

Step 2: Revoke access from Zoom (recommended)

To fully remove LinkTime's access to your Zoom account:

  1. 1.Go to Zoom Marketplace → Manage → Installed Apps
  2. 2.Find LinkTime in your installed apps
  3. 3.Click "Uninstall"

What happens when you disconnect

Your Zoom OAuth tokens are immediately deleted from LinkTime's servers. We no longer have any access to your Zoom account.

Existing bookings keep their Zoom links. Meetings already created on your Zoom account are not deleted. Invitees can still join those meetings.

New bookings will not have Zoom links. Event types that used Zoom will create bookings without a video link. You should update those event types to use a different location (e.g., Google Meet or in-person).

No user data is retained. LinkTime only stores your Zoom email and encrypted OAuth tokens. Both are deleted upon disconnection. We do not store meeting recordings, participant lists, or chat data at any time.

You can reconnect Zoom at any time by following the Adding the App steps above.

Data & Privacy

LinkTime takes your privacy seriously. Here's exactly what we do and don't access:

What we access:

  • • Create meetings on your behalf
  • • Your Zoom email (for account linking)

What we never access:

  • • Meeting recordings
  • • Participant information
  • • Meeting chat or content
  • • Your Zoom contacts
  • • Your Zoom settings

Data storage: Your Zoom OAuth tokens are encrypted at rest using AES-256-GCM encryption. Only your Zoom email address and encrypted tokens are stored.

Data deletion: All Zoom-related data is deleted immediately when you disconnect. See Removing the App for details.

Troubleshooting

Zoom shows as "Not connected" after connecting

Try disconnecting and reconnecting. Make sure you're signed into the correct Zoom account when authorizing. If you have multiple Zoom accounts, sign out of Zoom first, then reconnect from LinkTime. If the issue persists, contact [email protected].

Zoom meeting wasn't created for a booking

Check the following:

  • • The event type has "Zoom" selected as the location
  • • Your Zoom connection is still active in Settings → Integrations
  • • If Zoom shows as disconnected, reconnect it and try again

I see "Application not found" error

This can happen if there's a temporary issue with Zoom's servers. Wait a few minutes and try again. If it persists, contact [email protected] with details about when the error occurred.

I want to switch to a different Zoom account

Disconnect your current Zoom account from Settings → Integrations, then sign into the desired Zoom account and reconnect from LinkTime.
